Lead follow-up guide
Missed-call text-back for dealerships: how to keep the caller.
A dealership should text a missed caller back within minutes, because a caller who reaches voicemail may simply try the next store. Missed-call text-back does that for you: the caller gets a text within minutes between 8 AM and 8 PM, the conversation carries on by text, and live calls stay with your team.
Quick questions, no call needed.

The short answer
- A dealership should text a missed caller back within minutes, because a caller who reaches voicemail may simply try the next store.
- Missed-call text-back sends the caller a text within minutes between 8 AM and 8 PM and carries the conversation on by text; a call missed at night gets that first text after 8 AM.
- A text-back does not pick up the phone: live calls stay with your team, and payments, rates, credit and trade value go to a person.
- A good text-back says who it is from, owns the miss in a few words, asks one easy question, never quotes a payment, a rate or an approval, and is easy to stop.
- Test it yourself: call your main line on a busy Saturday, hang up without leaving a voicemail, and write down how long the text takes to arrive.
- On packages with texting, Dealer Ad Solutions' AI assistant texts back callers your team missed, and the same assistant answers every message within a minute, day or night.
The leak
Why a missed call is a lost lead.
Calls get missed for ordinary reasons: the floor is busy, someone is at lunch, it is after hours, Saturday is at its peak, or the service lane is full. The caller hears voicemail, and many never leave a message. They dial the next store on the list. Phone calls are often your hottest leads: someone who phones is usually ready to talk.
What it does
What does a text-back do?
When your team misses a call, the caller gets a text within minutes between 8 AM and 8 PM, in your dealership's time zone and, when we know it, the caller's. A call that is missed at night gets that first text after 8 AM, because texting quiet hours apply. From there the conversation carries on by text: the assistant answers what the caller wants, remembers them across channels and months, books the visit onto your calendar, and hands the customer to your team with a briefing when a person should step in. The call itself stays with your team.
What it does not do
A text-back does not pick up the phone.
Be clear about what it is. Some callers want a voice, and some questions need a person, such as payments, rates, credit and trade value. Live calls stay with your team. A different tool, voice AI, takes the call itself. It may suit a store whose phones ring more than anyone can pick up; if you try it, test it on real calls first. For many stores the bigger leak is the call nobody picked up, and a text-back closes it without changing who works your phones. More on where voice AI fits, and where it does not, in AI for car dealerships.
An example
One missed call on a busy Saturday.
At Summit Motors, a made-up store, James calls at 11:20 on a Saturday morning about the Tacoma. The floor is full, and the call rolls to voicemail. He hangs up without leaving a message. Within minutes he gets a text from the dealership. He writes back: "Is the Tacoma still there?"
The assistant checks your current inventory before it answers, sends the listing link, asks one easy question, and offers two times to come in. Your team gets a briefing on who is coming and why. Without the text, James is already calling the next store.
Dealership: Hi, this is Summit Motors. Sorry we missed your call. What can we help you with? Reply STOP to opt out.
Sat 11:23 AMBuyer: Is the Tacoma still there?
Sat 11:25 AMDealership: Hi James, I just checked: the Tacoma is on the lot right now. Here is its page: (link). Are you trading anything in?

What good looks like
What a good text-back looks like.
Whatever tool sends it, a good text-back follows five rules. An example, from the made-up Summit Motors: “Hi, this is Summit Motors. Sorry we missed your call. What can we help you with? Reply STOP to opt out.”
It says who it is from
"This is Summit Motors." A text from a number the caller does not recognize gets ignored.
It owns the miss in a few words
"Sorry we missed your call." Short, no excuses.
It asks one easy question
"What can we help you with?" One question, easy to answer from a phone.
It never quotes numbers
No payment, no rate, no approval. Those go to a person.
It is easy to stop
"Reply STOP to opt out." A stop word ends the texts, right away.
When the caller answers, the reply should be fast and specific: the vehicle they named, one question, two times to come in.
Mistakes
Three mistakes that lose the caller.
A form link instead of a question
A caller who wanted an answer does not want homework. Ask what they need.
A reply nobody sees
The text goes out, the caller answers, and the answer sits in an inbox until Monday. Someone has to own every reply, or an assistant has to answer it.
Numbers by text
Payments, rates and approvals belong in a conversation with your team, not in an automated message.
Rules
Rules that still apply.
A text-back is still a text. Texts a business starts should go out at reasonable hours, so our first texts go out within minutes between 8 AM and 8 PM. A STOP on text, Messenger, Instagram or web chat ends automated messages on every channel, apart from one confirmation, until the customer texts START. Texting is registered with the carriers before it goes live. Whether a phone call counts as agreement to receive a text depends on the rules where you operate, so ask your compliance advisor before you turn text-back on. Read the five texting rules for car dealerships.
Before you turn it on
Five checks before you turn text-back on.
Which lines count?
Your main line, sales, service and any tracking numbers from ads.
Ask: Is every number a customer can call on this list?
Who sees the reply?
Every conversation should land in your inbox and on the phone app, where your team can read it, pause it or take over.
Ask: Where does a caller's answer show up, and who is told?
What happens at night?
A call missed after 8 PM gets its first text the next morning.
Ask: What does the caller get at 10 PM on a Saturday?
Who takes the call back?
If the caller asks for a person, someone must pick it up.
Ask: Who calls back when a caller asks for a person?
Does STOP work?
Text STOP from your own phone and watch every automated message go quiet.
Ask: Does STOP end the texts on every channel and in every tool?
Then time it yourself. Call your main line on a busy Saturday, hang up without leaving a voicemail, and write down how long the text takes to arrive. Our guide to lead response time shows how to time every channel.
What to track
Four numbers tell you if it works.
Missed calls by hour and by line, so you see when and where the leak is. Time to the first text. How many callers write back. Visits booked from missed calls, and how many of those show up. Judge it like any lead source, by visits and sales, and compare the hours your phones are busiest with the hours they are quiet.

We can set it up for your service lane too.

Does the AI assistant answer phone calls?

How fast does the AI assistant answer a lead?
The AI assistant answers every message within a minute, day or night, weekends and holidays included. A new form or listing-site lead, or a missed call, gets its first text within minutes between 8 AM and 8 PM, in your dealership's time zone and, when we know it, the customer's. At night, that first text waits until after 8 AM, because texting quiet hours apply.
What happens to a call we miss at night?
A call missed after 8 PM gets its first text after 8 AM, because texting quiet hours apply. From the first reply on, the assistant answers every message within a minute, day or night.
What if a missed caller replies STOP?
A STOP by text, Messenger, Instagram or web chat is recorded right away and stops automated messages on every channel, apart from one confirmation, until they text START.
Can we use missed-call text-back for the service department?
A missed service call is a lost visit too. We can set the assistant up for your service lane: it answers service questions day or night, books service visits on your service calendar, sends reminders, and hands repairs and anything that needs an advisor to your team. It never quotes a repair price or guesses at a diagnosis.
